Messages:


  • Campus e-mail should only be used for messages relative to activities and information related to Colby-Sawyer College.

  • Messages should only be sent to the groups they are relevant to.

  • Keep messages brief and to the point.

  • Include a contact person to answer questions.

  • If your message does not pertain to an available group you may need to set up your own distribution list.

  • Avoid repetitive messages.



Attachments:

  • Avoid sending information as attachments. Whenever possible include the text in the body of the e-mail message. It is sometimes necessary to send messages with attachments because of highly formatted information or tables.

  • If the e-mail refers to information that is already posted on a web page or network drive send the e-mail with a link to the information. (Network shares are only available on-campus.)
  • Attachments have a maximum size limit of 2MB. Contact Information Resources to send a larger attachment.





Formats:

  • There are three formats options in Outlook, Plain text, HTML, and Rich text. All three formats are acceptable for campus e-mail.

  • Avoid using font sizes that are larger then 12 point except for headings.
  • Avoid color combinations that make messages difficult to read.
  • Do not format your messages with download programs like HotBar that add junkware to your computer.
