Room Draw 2015: Frequently Asked Questions (FAQs)


The following list provides frequently asked questions (FAQs) and answers about the Room Draw process for current students. New information will be added to this site as additional questions come up, so be sure to check back here regularly if you have questions.

Important Reminder


First and second year students are required to live in college housing. Third and fourth year students may break their Room Lease & Board Contracts without penalty by July 1. After July 1, students will be responsible for paying the full cost of room and board for the year. Please note that breaking the contract will make students ineligible to continue in the Colby-Sawyer Price and Graduation Promise program.

I am having trouble logging in to the Residence online housing system. What should I do?

  1. You should first confirm that you are using your full myColby-Sawyer email address (including the "@my.colby-sawyer.edu" part of it) as your username for the Residence system. You should also use the same password you use to log in to Moodle or PowerCAMPUS Self-Service.
  2. If you have confirmed both of those items and you still can't log in, next you should confirm that your password still works by logging in to Moodle or PowerCAMPUS Self-Service right now.
    1. If you cannot log in to Moodle or PowerCAMPUS Self-Service, you are either using the wrong password or your password has expired. You should contact the Helpdesk for further assistance.
    2. If you can log in to Moodle or PowerCAMPUS Self-Service, then your password is fine and you should contact Residential Education by email for further assistance.

Where do I indicate who my roommate(s) will be on my housing application in Residence?

You should complete a housing application in the Residence system to notify us of your intent to participate in Room Draw. Because this application only asks questions about you, you will not indicate roommate information until later in the process. You will be able to build your roommate group by clicking on the "Roommates" menu within the Residence system after you submit your housing application.

I can't look up my roommates with their roommate codes, or my roommate group can't find me when they use my roommate code. How do I fix this?

If you can't add someone to your roommate group, or if your roommate(s) can't add you to their group, there are two things to check.

  • First, be sure all members of the roommate group have submitted the housing application for next year.
  • Second, each person is asked on the housing application whether they wish to be in the Roommate Matching Database. All group members must answer that question the same way (either Yes or No) in order to be searched or found when using your roommate codes. If you aren't sure or need to change the answer to that question after you have submitted your housing application, you can click on the "My Account" tab at the top of the Residence screen, scroll down to the "Roommate Matching Database" question, and view or edit your answer.

Do I still need to do anything if I have been approved for a medical single?

If you have been approved for a medical single, you still need to complete the housing application, which will allow us to put you into the process to select your actual room.

Do I still need to participate in Room Draw if I have been selected to be a Resident Assistant

If you have been selected to be an RA, you still need to complete the housing application, which will allow us to place you into your assigned room.

How do I choose to live in a single room next year?

  • Single rooms are extremely limited on campus, and very few students will have the opportunity to live in one for the coming year.
  • To attempt to select a single room, you should opt-in to the lottery process specific to where you would like to live. Any single rooms available in a specific area will be included that area's lottery process.
  • If your priority in the lottery process is high enough, and single rooms are still available, you may make a selection at your designated selection time.
  • We highly recommend that you make a backup plan in the event that no singles remain when it is your turn to make a selection.
  • If you do not select a room during Room Draw, you will be automatically placed with roommates and assigned to a room for the coming year immediately following Room Draw.
  • You may place your name on the Singles Wait List by sending an email to residential@colby-sawyer.edu. Students who add their name to the wait list by April 17 will be placed in their Room Draw priority order. Students who add their name to the wait list after that will be added in the order they contact us.

I will be a full-time student in the fall, but right now I'm registered for fewer than 12 credits. Will this be a problem for Room Draw?

No, it won't. You will need to be carrying at least 12 credits by the end of the add/drop date in the fall to be eligible to remain in housing.

I don't have a roommate. Can I still pick a room during Room Draw?

If you don't have a roommate or roommate group, the Residence lottery system will display all available rooms in the lottery, but will only allow you to select available single rooms, because you are only able to select rooms that you/your group can fill (if you are not in a group, the system sees you as a single person that would fit into single rooms only). If, at your designated selection time, no singles are available, or if you don't wish to select a single room, you will not be able to make a specific room selection.

At that point, you should wait until the end of Room Draw, when the system will identify all students who did not make a housing selection. The system will match students in this situation with each other based on the answers provided on the housing application, and make room assignments accordingly. These room and roommate assignments will be sent by email in the weeks following Room Draw.

You also have the option to place your name on the Singles Wait List by sending an email to residential@colby-sawyer.edu. Students who add their name to the wait list by the end of Room Draw will be placed in their Room Draw priority order. Students who add their name to the wait list after that will be added in the order they contact us. You will still be given a room and roommate assignment, but depending on your priority on the wait list and the availability of singles throughout the summer, you may be offered a single room.
