Procedure for Reserving a CSC 15-Passenger Van

Vans can be reserved by students, faculty and staff for college functions. To check availability contact Donna Brennan at Campus Safety by email dobrennan@colby-sawyer.edu or by phone at x 3927 or x3675.

Individuals reserving a van are required to provide the following information:

  • Tile of event
  • Date(s) van is needed
  • How many vans will be needed- vans carry 15 passengers including the driver
  • Travel destination (town, state)
  • Start time (pick-up time)
  • End time (return time)
  • Name of driver-Operators must be certified (see below)
  • Van configuration-seats needed to be removed to accommodate luggage etc;
  • Advisor or trip sponsor

Once Campus Safety has received the information the van(s) will be placed on hold and the trip sponsor will be emailed a Confirmation Form. The sponsor will insert a budget number, sign and return the completed Confirmation Form to the Campus Safety Office.

Vans will be on hold but not officially reserved until Campus Safety receives the signed Confirmation Form. All vans are reserved on a first come first served basis.

The department or organization that requests a van is responsible for the mileage, lease charges and any other costs. The cost for using a CSC van is .40 per mile. If all CSC vans are in use rental vans are available through Campus Safety at an additional cost of $75.00 per day plus .40 per mile.

There is a $20.00 charge for any CSC van reserved but not picked-up on the designated date or cancelled with less than 24 hours notice. If a lease van is cancelled with less than 24-hours notice the cost will be $75.00. When calling to cancel a van or make a change to the reservations please give Campus Safety the date and reservation number (found on the Confirmation Form email).

CSC 15-Passenger Driver Application Procedure

Only students, faculty, and staff are eligible to apply for college vehicle operation. To operate a college vehicle, the driver must complete the following:

  1. Submit a completed *CSC Driver Application and copy of the requestor's state driver's license to Campus Safety

  2. Submit a state *Motor Vehicle Operator Record Request form to Campus Safety

  3. Complete the self-paced National Safety Council's *Van Operator Defensive Driving Course. Course materials can be obtained at Campus Safety.

  4. Complete a van driver orientation through the CSC Facilities department (extension 3699).

All of the above steps must be successfully completed before Campus Safety will authorize a driver to operate a Colby-Sawyer College 15-passenger van. Applicants will not be certified if they have more than 6 traffic violation demerit points under New Hampshire law, have been cited for an accident in the past 24 months or have been convicted of a major traffic violation, such as driving under the influence.

Once approved, driver authorization remains in effect for two years. It's the responsibility of the van operator to keep their records current. To do so, drivers must submit a newly completed *CSC Driver Application and state *Motor Vehicle Operator Record Request form to Campus Safety prior to the end of their second year. Previously certified drivers DO NOT have to retake the Van Operator Defensive Driving Course or orientation.
